Key Dates for Presenters

  • Monday, March 23 – Deadline to accept or withdraw session by completing the Presenter Agreement.
  • Friday, August 7 – Deadline to submit final edits to the Program
  • Monday, September 21 Strategic Planning Summits
  • Tuesday, September 22 – Pre-Conference Tours & Workshops
  • Tuesday, September 22 – Poster Session set up. (Must be in place by 8:00 A.M. on Wednesday)
  • Wednesday – Thursday, September 23 – 24 – Conference Day One & Two

TECHNICAL AND LOGISTICAL INFORMATION:

  • ACCESSIBILITY BEST PRACTICES: Use high-contrast colors, large fonts, and simple layouts on slides. Share accessible handouts when possible.
  • AUDIO-VISUAL SETUP:  Each meeting room has a laptop, projector, and screen. Sessions scheduled in the Exhibit Hall (Posters, Roundtables) do not have Audio-Visual set-up. Depending on the size of the room, one wireless microphone may be available. If you use your own laptop, arrive 15 minutes early to make the switch. At the end of your session, restore the ATALM-provided laptop and ensure it is working. Note that there sometimes is only 15 minutes between sessions so swap outs must be done efficiently. Standard HDMI and VGA connections to the projector will be provided. ATALM does not provide adapters for MAC computers.  
  • CHANGES TO SESSIONS: Notify ATALM immediately if you are unable to attend or if the session content or presenters change. Substitute presenters must be pre-approved to ensure program accuracy and relevance. Use the Presenter Communication Form to submit changes.
  • LEARNING LAB SUPPLIES:  With support from Gaylord and IMLS, hands-on lab presenters may request supplies and materials for their session(s). Please use the Lab Supplies Request Form to indicate your needs. All requests must be submitted by July 15. 
  • PRESENTER SUPPORT AT THE CONFERENCE: ATALM is committed to supporting presenters. For assistance before or during the conference, contact conference@atalm.org for questions about scheduling, technology, or presenter logistics. During the conference, if immediate assistance is needed, text 405-882-2177.
  • REGISTRATION:Conference registration must be completed by June 30.  Presenters may register at the Early Bird member-rate of $450 until June 30th. Starting July 1st, the member rate increases to $550. Unregistered presenters may be removed from the program after June 30 unless other arrangements are made.  It is the responsibility of the Primary Presenter to ensure that co-presenters are registered. 
  • ROOM HOST:  When available, a volunteer will be present in the room to help as needed, i.e., call for AV assistance, distribute papers, etc.
  • ROOM SETUP:  Pre-conference rooms and learning labs are set to presenter-provided specifications. All other rooms are set theatre style with a panel table that seats four presenters, a podium, and a resource table at the back of the room. Do not alter the room setup unless pre-approved by ATALM Conference Administration. If you receive permission to alter the room setup return furniture to its original arrangement. At the end of your session, remove all handouts and materials. Leave the room clean and ready for the next presenter. 
  • SESSION PREP AND DELIVERY: As an ATALM presenter, it’s essential to plan your session thoughtfully to ensure it delivers on the promises made in your program book description. Attendees select sessions based on these descriptions, so it’s important to align your content with the stated goals and learning outcomes. With so many high-quality sessions happening concurrently, your presentation should stand out—engaging, clear, and filled with useful, applicable knowledge. Consider incorporating interactive elements such as discussion prompts, Q&A segments, or hands-on demonstrations to keep your audience involved and energized.
  • SESSION TIMING AND FORMAT: Begin and end your session on time. Overrunning your session cuts into others and disrupts the schedule. If presenting as part of a panel, coordinate time management with co-presenters in advance. Include time for audience questions and discussion. View the types of sessions at ATALM conferences.
  • SOCIAL SHARING: Spread the word about your session on social media by using #ATALM2026. ATALM browses hashtags and re-shares appropriate posts on its social media accounts. Links to ATALM’s Social Media accounts are below:
  • WHOVA CONFERENCE APP: ATALM uses the Whova app for the conference schedule, handouts, networking, and live updates. The app becomes available after August 21. After this date presenters should: 
    • Download Whova (iOS, Android, or desktop) and complete their profile. 
    • Upload session slides, handouts, or resource links using the Presenter Communication Form or by emailing conference@atalm.org for inclusion in the app.
    • Engage attendees through in-app Q&A and discussions before and after your session. 
  • WIFI AND STREAMING:  While free Wi-Fi is available in the meeting area, live streaming or remote presentations by presenters is discouraged as adequate bandwidth WILL NOT be available. The wi-fi password will be shared at a later date.
